Printer & Scanner Basics
What is the difference between an inkjet and a laser printer?
An inkjet uses liquid ink sprayed through microscopic nozzles. A laser uses dry toner powder fused to paper with heat. Inkjets generally excel at color, photos, and mixed home use. Lasers generally excel at fast, durable, text-heavy printing. For a deeper comparison see our printer buying guide.
What does duty cycle mean?
Duty cycle is the maximum number of pages a printer is designed to print in a month. It is a measure of how much workload the hardware can handle reliably. Manufacturers usually also publish a recommended monthly volume, which is a more practical guide for everyday use.
What does duplex mean?
Duplex refers to using both sides of a page. Duplex printing prints on both sides automatically. Duplex scanning captures both sides of a page in a single pass through the scanner.
What is OCR?
Optical Character Recognition is software that reads the text in a scanned image and converts it into machine-readable, searchable text. Without OCR, a scan is just a picture; with OCR, it becomes a searchable document. Most modern document scanners include OCR as a built-in feature.
What resolution do I need for scanning documents?
For standard text documents, a moderate resolution is enough for accurate OCR and clear on-screen reading. For photographs, higher resolutions help preserve detail. For film, slides, and small originals that will be enlarged, very high resolutions are recommended. See our scan resolution guide.
What is the difference between dye and pigment ink?
Dye-based inks dissolve completely in liquid and produce bright, saturated colors. Pigment-based inks suspend solid color particles in liquid and produce prints that resist water and fading better than dye-based inks. Many printers use both — pigment for sharp text and dye for vivid color.
What is an automatic document feeder?
An automatic document feeder, often called an ADF, is a tray on a scanner or all-in-one that holds a stack of pages and feeds them through one at a time. It is essential for scanning or copying multi-page documents efficiently.
What is wireless printing?
Wireless printing allows a printer to receive print jobs over a wireless network rather than a USB cable. It supports printing from laptops, phones, and tablets without a physical connection to the printer.
What is a flatbed scanner?
A flatbed scanner has a glass surface on which originals are placed for scanning. It is best suited to photos, books, and fragile documents that should not be fed through rollers.
What is a sheet-fed scanner?
A sheet-fed scanner pulls documents through a roller system, scanning quickly as the pages move past the sensor. It is best suited to stacks of similar-sized documents and high-volume scanning.
Why does a printer or scanner need firmware updates?
Firmware is the software that runs inside the device itself. Updates can fix issues, improve performance, add support for new operating systems, and patch security vulnerabilities. Keeping firmware current helps the device stay reliable over time.
What is the difference between monochrome and color printing?
Monochrome printing uses only black, producing output in black and shades of gray. Color printing uses multiple inks or toners to produce the full visible color spectrum. See our color vs monochrome guide for help choosing.
What is mobile printing?
Mobile printing allows phones and tablets to send print jobs to a compatible printer over a wireless network, without installing drivers or connecting cables. Most modern printers support one or more mobile printing protocols.
